    How to scan documents using your iPhone

    This clever feature is massively underused and underrated. If you’re not using it, you’re about to wonder why.

    If you’ve ever lost a receipt you needed, you’ll love this nifty little feature. It’ll let you store any important paperwork, like bills and letters, digitally. From there, you can edit them, send them on or keep them in a secure folder. Ready to find out how?

    Using the notes app scanner

    The Notes app has a powerful built‑in scanner that keeps your documents stored inside the note so they’re easy to access.

    1. Open Notes

    2. Open an existing note or create a new one

    3. Tap the camera icon

    4. Select ‘Scan Documents’

    5. Point your camera at the document and press capture

    6. Tap ‘Keep Scan’

    7. Tap ‘Save’

    Auto scan capture

    This automatic feature detects page edges and captures a photo when they’re aligned. It’s the speedy, accurate way to scan. You’ll need to make sure the ‘auto’ feature is turned on in your settings menu.

    Manual scan capture

    It might be best to scan documents manually if you’re in low-light or glossy paper makes it difficult to read any important info. You can switch between auto and manual scanning easily to suit each document.

    Editing a document

    Once you’ve captured a document, just tap it to see the editing options. You can do loads of helpful things like crop them to remove information you don’t need or apply colour filters to improve visibility or enhance text clarity.
    After scanning, tap the document to edit it.

    Colour – best for passports, certificates

    Grayscale – good balance

    Black & White – best for text clarity

    Photo – keeps the original look

    Saving and Sharing as a PDF

    Save as a PDF
    The Notes app automatically saves scanned images as PDFs. You can even create multi-page PDFs by adding pages if you want to bundle scanned documents together.

    Share or export
    It’s super easy to share documents straight from the app. Just open the scanned document, hit share, and send it however you like. Email, WhatsApp, Teams, they’re all just a click away. This comes in really handy for sharing event tickets with friends, boarding passes for a group booking or sending a FIT note to your employer.

    How to sign documents

    Did you know you can sign documents with a digital signature? You’ll never have to search for a pen again!

    1. Open the scanned document

    2. Tap ‘Markup’ (It looks like a pen icon)

    3. Tap +

    4. Select ‘Signature’

    5. Add a saved signature or create a new one

    6. Resize and place it

    7. Tap ‘Done’

    Your signature will be saved for future use and legally accepted for most admin and work tasks. Easy-peasy

    Top tips

    Keep digital copies of important documents like passports, driving licenses and birth certificates, so you don’t have to find the originals when you need them.

    Use the Files app to rename any PDFs you’ve created to more appropriate names.

    Create an ‘Important docs’ folder to save key documents in, so you won’t lose them in the cloud.

    Use the locking feature in the Notes app to add an extra layer of security to sensitive documents.
